Terms and instructions for reservations
As a remarkable monument and a unique environment, Suomenlinna offers a memorable setting for meetings and parties. The following terms and instructions for reservations have been compiled for customers renting the facilities in order to enhance the peace of the residents and the comfort of the visitors.
Terms for cancellation
If the payment is not completely carried out by the due date the governing body of Suomenlinna has the right to cancel the reservation. The payment will be returned (deducted with office fee 34 Euros) if the cancellation is done more than one month before the event. In cancellations done less than one month before the event, the payment is not returned.
Reservations for year 2013 (made after 1.11.2011): in case of cancellation the reservation fee will not be returned.
General responsibilities
Smoking is only allowed outdoors. The repair costs for broken windows caused by negligence on the customer’s part are collected from the customer. The costs for any items belonging to the Governing Body of Suomenlinna that go missing from the facilities during the rental period are collected in full from the customer. The facility and all movable property within are the renter’s responsibility during the rental period. The furniture is always the responsibility of the renter, even if the customer uses their own furniture, as the furniture belonging to the facility is kept in the facility at all times. Any disputes or compensation issues shall be heard in the Helsinki district court.
Facilities and equipment
The Governing Body of Suomenlinna rents the facilities only. The customer is responsible for organising other services, for example the catering services. There is a list of the available equipment for each facility. The arranging of furniture into a specific formation is subject to an additional charge. Furniture may not be moved from one facility to another (from the Tenaille von Fersen hall to the Myllysali hall, for instance) or taken outdoors.
Rental period
The rental period for the conference facilities is 8 am to 8 pm and for banquet facilities 10 am to 2 am. All times deviating from those stated above must be agreed in advance with the conference and banquet facilities sales service. Other persons do not have the right to alter the time of the rental period. Loud music must stop at midnight in the Pirunkirkko, Tenaille von Fersen and Myllysali halls and at 2 am in the Gunpowder Magazine. The last ferry for the mainland leaves from Suomenlinna at 02 o'clock. The conference facilities (Piirtämö, Paarlastihuone, Curtain Hamilton-Polhem and the Pajasali and Tynnyrintekijä meeting rooms) must be empty by 8 pm. Staying overnight is not allowed.
Cleaning
The rent for the premises includes basic cleaning after the event. The customer should take away everything they brought with them and collect the bulky waste in refuse sacks. Waste should be disposed of in the waste containers outside. The customer will be charged an hourly rate of €42 for any additional cleaning of significant waste remaining in the facility. A penalty fee of €100 is collected from the customer for removing any items left in the facility by the customer. The customer will be charged an hourly rate of €42 for cleaning the event area of waste resulting from the event.
Protection of surfaces
Decorating the interior of the facility is only allowed if it does not result in damage to the wall surfaces: using tape, Blu-Tack or similar fixatives is strictly forbidden. Many of the facilities have been painted with a distemper or other paint that cannot take the adhesion of decorations. Candles may be burned under supervision, but stearine must not be allowed to run onto the furniture or the floor.
Outdoor areas
The rent of the conference and banquet facilities does not include any outdoor areas. The creation of additional space by erecting tents is not allowed. All outdoor activities in Suomenlinna require a
permit. For more information, please contact the conference and banquet facilities sales service. Organising private fireworks is forbidden in Suomenlinna. Decorative outdoor lights may only be burned under supervision in front of the function facility. Placing such lights on public routes is not allowed.
Signage
The renter may set guiding signs on the route to the facility. The signs must be removed once the event is over.
Keys
The renter shall arrange retrieval of the keys with the Governing Body of Suomenlinna’s conference and banquet facilities sales service in good time before the event. After the event, the key is returned either to the grey post box in the facility, to the Visitor Centre when it is open or to the postbox in the door of the office (C40) of the Governing Body of Suomenlinna. The renter is responsible for locking the outside doors and closing the windows of the rented facility upon leaving. The costs resulting from any missing keys (such as costs resulting from changing locks or re-serialisation of locks) will be recovered from the organiser of the event.
Considering the residents
The peace of the residents must be considered at night in relation to staying outdoors, playing music and, at the end of the event, packing and transporting things.
